IndexFrog/Usage

How to use
IndexFrog.

Practical, one-minute walkthroughs for every feature on the IndexFrog ribbon. Watch a tutorial, try it on a real engagement file, and reach out if anything is unclear.

00 — Getting started

Install IndexFrog and open it in Excel.

IndexFrog is a native Excel add-in. Once installed, you'll find a new IndexFrog tab on the Excel ribbon — that's where every feature on this page lives.

Before you begin

Make sure your environment meets these requirements. There are no specific hardware requirements, but more threads and memory will improve performance — older machines may experience Excel crashes.

  2. Open the IndexFrog ribbon tab.
  3. Click Load Files to import your PDFs (or Load Folder to import a whole directory).
  4. Select a document in the PdfViewer to start referencing values into your sheet.

Text

Text lets you extract text from a source document directly into an Excel cell, while also creating a link between that Excel cell and the exact place in the document where the text came from.

TUTORIAL · TEXTWatch on YouTube ↗

How it works

  1. Select an Excel cell.
  2. In the PdfViewer, drag-select the text you want to capture.
  3. To add more text to the same cell, hold Ctrl while making additional selections.
  4. Need a leading zero? Format the cell as Text first, then type the number.

Troubleshooting

  • Cell empty? The PDF likely has only a partial text layer — click Send to OCR on the ribbon.
  • Wrong text? The text layer order may differ from the visual order — re-run OCR manually.

Sum

Sum lets you select multiple amounts in a source document and automatically add them up in Excel, while creating a reference link back to the selected areas in the document.

TUTORIAL · SUMWatch on YouTube ↗

How it works

  1. Select a single Excel cell.
  2. Click Sum on the IndexFrog ribbon.
  3. Click each number in the PDF you want to include — the total updates live in the cell.
  4. Stay on the same cell to keep adding; no need to hold Ctrl.

Tips

  • Numbers are parsed with their currency and sign automatically.
  • To remove an item from the sum, see Delete index.
  • Tie the cell to your GL — the diff updates if either side changes.
